Virtual assistant · operations · project support

Good work needs room to breathe.

I’m Rebecka, a virtual assistant and business operations professional who helps small businesses and busy professionals manage the work behind the work. I take the admin, the systems, and the follow-through off your plate so the details stop stacking up and you get your time back.

Capable help
for the work
behind the work.

A practical kind of support

You don’t need another app or another dashboard. You need someone who can look at the mess, make sense of it, and move the work forward.

Clear support for the work that keeps getting pushed aside.

The behind-the-scenes tasks pile up fast. Handing them off means less sitting on your plate and more moving forward.

Less administrative backlog
Better organized files and information
Clearer next steps
More consistent follow-up

The work changes.
The standard doesn’t.

Start with one thing off your plate, or hand me the recurring work for good. Clear scope, clear timelines, and most of it handled over email so it never eats into your day.

Virtual assistant & admin

About

Experienced enough to see the pattern. Practical enough to fix the process.

I bring ten-plus years in operations, HR, benefits, and administrative support, and a real knack for the behind-the-scenes work that keeps a business moving. I am an MBA candidate with a concentration in project management, and I hold a Bachelor of Science in Management focused on business management and leadership and an Associate of Applied Science in Radiology. I’ve seen how the little things pile up: the inbox nobody has time for, the process living in one person’s head, the tracker everyone’s afraid to touch.

My approach is straightforward: understand what’s actually happening, make the work easier to manage, and leave you with more clarity than you started with. No jargon, no meetings you don’t want, and nothing handed back that you can’t use.

Book a conversation

Two easy ways to start.

Most projects begin with a quick chat so we can make sure it’s a good fit. Prefer email? Skip ahead and send me the details instead.

Free 15-minute fit call

Free · 15 min · Google Meet or phone

A short intro call to understand what you need, confirm whether I’m the right fit, and decide the best next step. One per person.

Paid consultation

45 minutes · payment required at booking

A focused 45-minute session to review a specific administrative, operations, project, or spreadsheet challenge. You leave with a written summary of recommended next steps. Payment is required when booking, and the same 24-hour reschedule policy applies.

Project work begins with an inquiry and scope review. Once we agree on the work, timeline, and price, I send a written agreement and payment instructions before work begins.

Evenings, Monday through Saturday. Sundays are unavailable. Please give at least 24 hours’ notice to reschedule; one reschedule per appointment. No free consulting or completed work during the fit call.

Get in touch

Let’s talk.

Send a few details about what you need help with. I reply within one business day with a plan and a price. No pressure, and if you’d rather talk it through first, just say so.

email me directly

I do most of this over email in the evenings, so email is the easiest way to reach me. For bigger projects we can set up a call at a time that works for us both.

Sending opens an email to me with your details, or write me directly at Hello@RebeckaDePalma.com.

Good to know

The details, in plain words.

Here is how communication, payment, scheduling, and project responsibilities work.

How working together goes +

Every project starts the same simple way: you tell me what you need, I send back a short plan with the scope, price, and delivery date, and once you say yes and payment is set, I get to work. Nothing starts until we both agree on what is included.

Each plan spells out how many rounds of changes are included, what files or systems are covered, and what falls outside the project so there are no surprises. Anything beyond the agreed scope, I quote first before doing it.

Payment terms +

A 50% deposit reserves your project and begins the work. The remaining 50% is due on the delivery date, and final files are sent once it clears.

Hourly and ongoing support run on a set number of pre-approved hours, billed on a weekly invoice. Full terms are laid out in the service agreement I send before any project starts.

Payments and any refunds are handled through Stripe.

Booking, cancellations, and refunds +

Please provide at least 24 hours notice to reschedule, because meeting preparation is required. One reschedule is permitted per appointment. Late cancellations may forfeit any payment made, unless you contact me by email within 12 hours of the scheduled appointment. Project deposits are nonrefundable once work has begun. Refunds, when they apply, are handled through Stripe. Each person may book one free 15-minute fit call.

Appointments are evenings, Monday through Saturday. Sundays are not available.

What I need from you +

Good work depends on good inputs. You are responsible for giving me accurate information and the access I need to do the job, files, logins, or examples, in a reasonable time. When I am waiting on something from you, the timeline pauses until it arrives.

The clearer you are about what "done" looks like, the better the result. If something changes on your end, just let me know and we will adjust.

Your privacy and confidentiality +

I treat your business information and project materials as confidential and use them only to provide the services you request. I do not sell or share your information. I do not request or retain passwords when delegated access or a secure sharing method is available.

When you fill out the contact form, I collect what you enter (your name, email, and project details) so I can reply and, if we work together, deliver the work. Your information lives in the everyday business tools I use, like Google and Stripe. You can ask me to delete your information at any time by emailing Hello@RebeckaDePalma.com.

Please share only the information and access a project actually needs. If a project involves sensitive or confidential material, tell me up front so we can handle it carefully.

What I do not do +

I provide administrative, operations, and project support. I am glad to handle the admin side of your numbers, like creating or sending invoices from figures you give me, but I do not keep your books, reconcile accounts, or provide bookkeeping, tax, accounting, or financial advice. I am not an accountant, and nothing I deliver should be treated as legal, tax, accounting, or financial advice. For those, please work with a licensed professional.

I run this business independently under my own name, using my own tools and general skills. It is separate from any employer, and I do not use any employer's time, equipment, or confidential information in this work.
